Terms & Conditions
A $2,000 deposit is required to confirm the booking, and is requested within 14 days of any tentative booking, or the acceptance of the quote, referenced by the initial viewing date. The Terms and Conditions are to be signed by the Patron and management of Springfield House Function Centre to complete the booking process. The management of Springfield House Function Centre reserves the right to cancel any booking where the deposit and signing of terms and conditions is not done within 14 days. All credit card payments incur a fee of 1.5%
Payment of a deposit denotes acceptance of our terms and conditions. If the Patron cancels the confirmed booking for any reason Springfield House will retain the full deposit. If a cancellation is made within 12 months of the confirmed booking, Springfield House will retain any monies paid. Should the wedding be cancelled within 6 months of the booked date, a cancellation fee of 30% of the total amount based on minimum numbers will be payable. Cancellations made within a month of the booked date will result in the venue retaining all monies paid. All cancellations must be confirmed in writing by the Patron to be effective. Deposits are non transferable.
In the case where weddings or functions are postponed more than 6 months prior to the confirmed date, we are happy to do so and carry over any monies paid, however the function must be held within 12 months of the original date. If your event is postponed within 6 months from the booked date, Springfield House will retain any monies paid, including 30% instalment which will be carried over, however you must pay an additional booking fee of $2,000 when re-booking.
3. External Suppliers bookings/ In house services
In the event that there are any advance bookings made by the management of Springfield House Function Centre on behalf of the Patron, if these are cancelled either as part of a total cancellation, or due to changes in arrangements required by the Patron, a charge will be payable by the Patron which shall cover all Springfield House’s associated costs. These fees will be payable separate to any amounts paid to Springfield House as part of instalments or deposits. All in house services are non-transferable and include DJ, MC, Cake, and in house table centre pieces.
4. Price Variation
The management of Springfield House Function Centre reserves the right to amend or change the pricing in the event of cost changes beyond their control, whilst making every effort to honour the original agreed price. Any cost increases will be fully justified in writing.
30% of the balance based on minimum numbers must be made 6 months prior to the event with a further 30% payable 3 months prior. The remaining balance is due 5 working days prior to the function date
6. Final Numbers
Final numbers shall be confirmed at the time of final payment. After this they may be increased but not decreased by the Patron in the days prior to the event. Minimum number of guests apply on all packages. No refunds will be made if the actual numbers are less than the final numbers.
6a. Security deposit
All functions are required to pay a security deposit of $1,000. This will be refundable after the event, and any damages which may have occurred, will be deducted from this amount.
7. Menu selection
The Patron is to confirm the menu selection at the time of final payment
The Patron agrees to begin the function at the scheduled time and agrees to have the guests, invitees and other persons vacate the designated function areas at the agreed completion time. A labour and service charge is applicable for the function continuing after the agreed completion time at $1,000.00 per hour or part thereof.
This is payable for events where security is not included in your package. Clients are charged an additional fee of $200 for security where there are less than 100 guests. More than 100 guests this fee increases to $400.00
10. Public Liability Notice
All external suppliers and their staff whether engaged on behalf of, or directly by, the Patron must be covered by public liability insurance including, but not limited to caterers, live bands, entertainers, flower decorators, musicians, cake suppliers, staging coordinators, car hire, photographers and videographers. All electrical equipment must be tag and tested.
The management of Springfield House Function Centre will take all reasonable care, but accepts no responsibility for any loss of personal material, or damage to merchandise or other property in the function centre prior to, during or after functions. It is recommended that the Patron take out specific insurance cover for this.
12. Damage or Loss
The client warrants that all guests attending the event will use care and diligence in compliance with common sense and courtesy and respect for another’s property. The client is financially liable for any damage sustained, or loss incurred, to the function centre’s property, fixtures or fittings, whether through their own action or through the action of their guests, contractors or sub-contractors. Springfield House will charge a cleaning fee of $250 for any excessive mess from the event including and not limited to vomit, blocking of toilets due to disposal of foreign objects etc.
Liquor may not be brought into the function centre. By law, it is illegal to remove liquor from Springfield House Function Centre’s premises.
14. Furnishings / Decorations
No furnishings are to be moved, or removed from Springfield House Reception Centre, including car park, or gardens. Guests wanting to bring in their own furnishings must get prior written approval from the management. Fees may apply. We do not allow for glitter, scatters, confetti, tinsel, Sparklers, or confetti balloons. Bubbles can only be used outside. Any furnishings requiring nails, tacks, hooks, Blue tac, or tape will not be allowed. Springfield House may decide at any time to change the furnishings or lay out of Springfield House at their discretion.
Children are very welcome at Springfield House. However, parental or adult supervision must be provided at all times, and children are not to be allowed to roam freely on the premises either inside or out. An adult must be seated with children at all times. Where there are more than 10 children, an adult must be assigned to look after the children, and remain with them during the time of the function. Springfield House accepts no responsibility for any children brought onto these premises.
16. Self-catered functions
All self-catered functions agree to pay a cleaning fee of $250.00 where the kitchen is not left in a satisfactory condition.
17. External Food supplies
Springfield House accept no responsibility for any food items brought in by the client or suppliers associated with the client. e.g. Confectionary, cakes, etc.
18. Delivery and Collection of Goods
There will be security deposit of $200 cash required for any flowers or items that are set up in the garden or venue. Should these not be taken down and collected, there will be a fee of $200.
All goods to be delivered must be organised with your Event Manager as to suitable drop off times. The Venue will accept delivery of goods one day prior to the function i.e. bonbonniere and/or place cards. All goods are to be delivered between 10.00am and 4.00pm Monday to Friday except where prior arrangement has been made. All goods must be removed on the completion of the function unless prior arrangements have been made with the Venue. The Venue will not accept responsibility for any items delivered or left for collection.
19. Marketing and Advertising
Unless advised otherwise the venue may use any photo’s, video or DVD images taken by the venue of any event for marketing or advertising purposes.
